How to approve, ask for changes, or reject what your team wants to publish
Nothing your operators write is published, and nothing on your site changes, until you approve it. Once your team has built your site, every change to it waits for you: a page, a blog post, a product, a form, an image, a menu, a plugin, a setting. The only time your team works without asking is while it builds your site the first time, and even then anything that goes out in public still waits for you.
One thing is yours to drive, not your team’s: if you connect your own AI assistant to your site with a connector token from the dashboard, what it publishes goes live at once, because that token is your standing yes for your own assistant. During your $1 first week, a page or article it publishes is saved as a draft instead and published on day 8, when your plan starts, and only if you continue, the same as the week’s other pages; your assistant is told the date. Revoke the token in the dashboard to withdraw it. Your operators’ work always waits for you as described here.
When you ask for a change yourself in a chat with your team or on WhatsApp, your team asks you right there before it makes it. When you ask from the message box on your Home, the change waits here instead, and the reply tells you so. Everything else waits here too.
Where the work waiting for you is
Waiting for you in the sidebar. It holds everything that needs a decision from you: work your operators want to publish, changes they want to make to your site, customers who wrote in, and problems worth fixing. The number beside it is how many things are waiting. A change to your site says in plain words what it does, for example: Adds the page “About us” to your site and publishes it.
The same items also appear on your Home, under Your operators are on it, with the text they want to publish.
If you have linked WhatsApp and written to your team there in the last day, each one also arrives there with the post, the picture or video attached, and buttons to answer it: Approve, Request changes and Reject for something to publish, Approve and Reject for a change to your site. Several changes to your site at once come a little differently (see When several changes arrive at once). Approve it
Read the text. If you are happy, select Approve. A post goes out to the channels you connected, usually within a few minutes. A change to your site is made straight away, exactly as it was described to you.
Approving is what spends an action, and only for a finished piece of work: a post, a page, a blog article, a product, an offer, a form or a translation. One approval of a post is one action, however many of your channels it goes to. Approving a setting, a plugin, maintenance or a fix never uses one, and neither does changing only the title of a page or a post.
If you are out of actions when you approve a page or a post, it is kept and made by itself as soon as actions come back. After 72 hours, we ask you again first. A page or a blog article also counts toward the month’s pages or articles: when those are used, it waits the same way, with the reason written on it, until the month resets or an action pack adds room. When a post is going to several channels, you are told which ones took it. If one channel refused, for example because its connection expired, you are told that too rather than simply “done”. If every channel refused it, the action is given back; if you try a refused channel again, that retry is already paid for.
Posts to X go out without a link. Add your site link to your X bio so people can find you. Every X approval says so.
Ask for changes
Select Request changes and say what you want different, in your own words. You do not have to rewrite it yourself:
- “Too formal, we are a bakery not a bank”
- “Say the sourdough is only Thursdays”
- “Take out the exclamation marks”
Your operator rewrites it and puts the new version back in front of you, with your note shown above it so you can see what it was answering. The post is not sent while this is happening, and the job stays on your operator’s list.
On WhatsApp, tap Request changes and then send your note as your next message. Send “cancel” instead to leave the draft alone.
Two things to know:
- You can ask up to three times on the same piece of work. After that, the honest answer is that more rounds are not getting closer, so approve the version you like most, reject it, or write the post yourself.
- Some approvals have no wording to change, for example a change to a setting, or any change to your site such as a new page. The button is not offered on those, and neither is Refine on your Home: reject it and tell your Co-CEO in chat what you would like instead. If a WhatsApp message about one shows the button anyway (it can, when you have not written to your team in the last day), tapping it tells you the same thing.
Your operator only rewrites what you asked about. It will not add a discount, a price or a claim that was not already in the draft, because you are the one publishing it.
Reject it
Select Reject. The post is thrown away and nothing is published, or the change to your site is not made.
Rejecting also finishes that job. If it is recurring work, your operator comes back with something new on its next turn, but it will not immediately replace what you rejected. When you liked the idea and only wanted different words, Request changes is the better answer: it keeps the work alive.
When several changes arrive at once
One piece of work can need several changes to your site, for example a new page and a menu entry. Each one waits for you on its own, so you can say yes to some and no to others. On WhatsApp you get one message for the first, with its buttons, and one more listing the rest with a link to your inbox. If you have not written to your team in the last day, WhatsApp allows neither message: see When WhatsApp’s 24-hour window is closed.
Your team never makes a change before the one it depends on: it does not link to a page that does not exist yet. On your Home, the change the others depend on is the one shown first. Once you approve a page, ask your Co-CEO for the link or menu entry you want if it is not already waiting.
Pictures made for a page are not a separate approval: they go into your media library with the page when you approve it. Pictures you ask for in the page editor are the one exception: they go straight into your media library so you can see them in the edit, and they stay there if you discard the edit. Delete them from Media if you do not want them.
When WhatsApp’s 24-hour window is closed
WhatsApp lets your team message you freely only within 24 hours of the last message you sent it. Outside that window it allows only messages WhatsApp has approved in advance, so your team sends you at most one WhatsApp message a day, and twelve a month, about the work waiting for you:
- It carries one thing that is waiting, with its buttons, and says how many more are waiting, with a link to Waiting for you. It is text only: the link shows the whole of it.
- Everything else from the same piece of work comes in one email that lists what each one does, with a button to your approvals. Once the day’s message has gone, or the month’s twelve, everything comes by email.
- Everything waits in Waiting for you either way, so you can answer it there at any time.
The email does not come if you turned off Approvals and team updates in your email settings. To get each new one on WhatsApp with its buttons again, send your team any message there: that opens the window for the next 24 hours.
Videos
A video is approved twice, and each time you see what you are saying yes to:
- Which video to make. A video choice shows our recommended kind and the others, with what each costs, before anything is made. Approving it starts the video. See How to choose a video.
- Where to post it. The finished video comes back as a post to approve, like any other. Posting it is one action, however many channels it goes to.
A video with AI in it carries a visible AI label, and the post text gets a line saying so.
Pages and articles in the $1 first week
During the $1 first week, a page or a blog article you approve counts toward the week’s 5 finished things and waits for day 8, with the reason written on it. It is published on day 8, and only if your plan continues.
Posts that go to TikTok
TikTok requires you to choose who can see each video, every time, and does not allow a default. Until TikTok approves WPMaven, the only choice it accepts is Only you (private), and your TikTok account itself must be set to private. Those approvals ask you to pick before the Approve button works, and they can only be approved in the dashboard. You can still ask for changes or reject them from WhatsApp.
If you do nothing
Work waits for you, and nothing is published or changed by default. Approvals you never answer are closed after seven days and your operators are told to move on, because a post written last week is usually stale by the time you see it. You get one message when that happens, and the work itself is not lost: it comes back around on your operator’s next turn.
